How the numbers work

  • Hours a month multiply runs a week by minutes a run, over 52 weeks and 12 months.
  • Each process is rated from 0 to 1 on five factors, then weighted: volume (3), rules (2), few exceptions (3), data in systems (3), low error cost (2). The score is the weighted total as a share of 100. You can change every weight.
  • Volume earns full marks at 160 hours a month, about one person working full time, on a curve that rewards the first hours most.
  • The monthly cost is the time your team spends on the work today, at the hourly cost you enter. It is not an estimate of what automation would cost. Scores and hours are planning estimates from your inputs.
  • The factors follow our guide to choosing processes. Ownership and system access are not scored here: if nobody owns a process, or you cannot get permitted access to its data, it should wait.
