1. Overview
This Refund Policy explains how refunds work for Kastling's professional services: audits, AI integration and automation, AI and cloud infrastructure, custom software, integration and training, and maintenance.
Every paid engagement has a written proposal or statement of work ("Proposal") that sets out its scope, fees, any deposit and the payment schedule. Where a Proposal includes its own cancellation or refund terms, those terms govern. This Policy applies where the Proposal is silent and should be read with our Terms of Service (kastling.co/terms).
Kastling does not publish prices. Fees are set for each engagement and stated in its Proposal.
2. The discovery call is free
Every engagement starts with a discovery call. It costs nothing and commits you to nothing, so there is nothing to refund.
3. What is paid
The audit and every stage after it are paid as the Proposal sets out. That includes development, integration and training, any infrastructure or hosting Kastling provides, and optional maintenance, which is billed under its own agreement.
Third-party costs, such as software licenses, cloud usage on AWS or Azure, and AI model usage, are separate from Kastling's fees. Where Kastling pays them on your behalf, they are passed through to you as the Proposal describes.
4. Cancelling before work starts
You may cancel an engagement, or any stage of it that has not started, by writing to hello@kastling.co. If you cancel before work on that engagement or stage begins, Kastling refunds the fees you have paid for it in full, less any third-party costs already committed on your behalf.
Where a Proposal states that a deposit is non-refundable, the Proposal governs.
5. What is refundable
- Fees paid in advance for work that has not started, including maintenance paid for a period that has not yet begun.
- Fees for work that Kastling cannot complete for reasons within its control and not caused by you. In that case, Kastling refunds fees in proportion to the uncompleted work.
6. What is not refundable
- Work completed or delivered, including a completed audit and its report, and any Deliverable or stage you have accepted.
- Time already spent on the engagement, including interviews, workshops, analysis, design and development for work in progress.
- Third-party costs passed through to you, such as software licenses and subscriptions, cloud usage and AI model usage, once they are incurred or committed.
- Maintenance fees for a period that has already started.
If you believe a Deliverable does not meet the scope agreed in the Proposal, tell us. It is handled under the acceptance terms in the Proposal or, where the Proposal is silent, under Section 16 of our Terms of Service, and Kastling will correct it to meet the agreed scope.
7. Ending an engagement after work starts
If you end an engagement after work has started, you pay for work completed and time spent up to the date you end it, together with third-party costs already incurred or committed. Fees paid in advance for work that has not started are refunded under Section 5.
Kastling transfers rights only in work that has been paid for in full. Completed work that has not been paid for stays with Kastling until it is paid.
8. How to request a refund
Email hello@kastling.co with:
- Subject line: Refund Request
- Your company name and the email address used for the engagement
- The Proposal reference or engagement name, and the invoices concerned
- What you are asking to have refunded, and why
- Whether work on that engagement or stage had started
Kastling will acknowledge your request within one (1) business day and respond with a decision within three (3) business days. Approved refunds are returned via the original payment method within ten (10) business days of Kastling's confirmation.
9. Your rights under law
Nothing in this Policy limits any right or remedy you have under applicable law that cannot be excluded or limited.
